Mumbai Hospital Reduces Administration Time By Using Fax Automation

In this Acceleration Case Study, learn how the Dr. Balabhai Nanavati Hospital, a medical facility in Mumbai, overcame paper processing challenges with an electronic fax solution. With over a thousand monthly patients, keeping up with the paperwork was challenging for the hospital. Since they had been using a fax machine, the hospital encountered difficulties in ensuring the quick and secure processing of insurance claims. The Challenge

Dr. Balabhai Nanavati Hospital has over 60 years of experience in offering world-class medical care in Mumbai. The medical facility includes over 170 junior doctors, consultants, paramedics, nurses, and other staff members. They provide around-the-clock healthcare for patients.

Processing all of the paperwork was a major challenge for the hospital. They have around 1,600 admissions every month and 50-60 discharges each day. However, due to cashless insurance, about 25% of these patients don’t pay for their medical treatment. Instead, the administration department works with all major insurance companies, third-party agencies, and more than 250 corporate clients to process these claims.

The medical claim approval process for a patient includes obtaining documentation from the insurance company and third parties. Furthermore, they have to fax this information due to security measures. However, using these fax machines required a lot of manual effort in sending and receiving faxes throughout the day. The fax machines also didn’t report if faxes had been successfully transmitted, so all of these documents were stored in filing cabinets.

Using fax machines caused many delays in the insurance claims process. The administration department was looking at a reliable solution that enables users to send documents to insurance companies and clients without sacrificing security quickly. The ability to quickly process these documents was a top priority for the hospital.

Software Solution – Zetafax

The hospital chose Zetafax software by Equisys to save time and money while also streamlining the entire documentation process. Zetafax made it possible to electronically fax rather than using a multi-functional printer. It was very user-friendly. The turnaround process for using Zetafax was much quicker. For instance, pages could quickly be queued and filed automatically without the risk of losing or misfiling any pages.

The installation of Zetafax allowed the facility to transition from a modem to an intelligent fax board. This decreased operational costs. Additionally, it reduced the risk of losing faxes because of a lost connection. One single fax line, using the Zetafax server, can now process anywhere between 100-120 pages sent and received by fax each day.

Final Results

Using Zetafax enabled the hospital to save around 30% of each employee’s time. This allowed staff members to focus on other tasks. Claims were able to be processed more efficiently, which resulted in receiving insurance payments quicker. Now, Zetafax is the single source of communication for sending or receiving faxes in one location. The hospital can easily perform audit trails and reports to track all faxes.

Each of these faxes is easily archivable by date order, making it simple to retrieve information quickly. The system is also backed up frequently to ensure that no data is ever lost. Since Zetafax is simple to maintain and operate, they have had excellent feedback for using the system. Because of its many benefits, the hospital highly recommends the use of Zetafax for other departments and hospitals.
