How to Perform Quick and Detailed Security Audits with Dynamics 365

Reduce time spent on internal IT audits by utilizing dynamic access to security data relevant to understanding your business system. By tracking such data, manufacturers get a historic and current list of data that aids in the compliance with business standards and industry regulations. Data loss prevention (DLP) policies ensure that sensitive information stays within your organization while preventing the sharing of such information accidentally. By monitoring and protecting sensitive files, you can keep data confidential and perform quick and detailed security audits while maintaining compliance with industry regulations. 

Importance of Auditing 

By auditing all your data and keeping up with regulations, you can ensure that security breaches do not occur. Further, Dynamics 365 for Finance & Supply Chain Management can help you protect your data and preserve privacy. Auditing is a critical aspect of an organization’s financial and management control system; it works by measuring the level of compliance and the security considerations associated with specific applications. Security Manager automates the management of security tasks while simplifying the reporting process. You can: 

  • Reduce security deployment times by defining roles and automating steps. 
  • Have confidence in complete and accurate security and audit reporting. 
  • Simplify access reviews with persona-based reporting. 
  • Reduce preparation time for audits and reporting with pre-configured Separation of Duties (SoD) and audit trail controls. 
  • Reduce costs associated with licensing. 

How to Start Auditing 

NOTE: This will require the system administrator, customizer security role, or equivalent permissions.  

  1. Go to Settings> Administration  
  2. Choose System Settings 
  3. On the Auditing tab, select the Start Auditing check box to start auditing. Clear the Start Auditing check box to stop auditing.   
  4. Select the entities you want to track. To start or stop auditing on specific entities, select or clear the following checkboxes: 
  5. Audit user access: Track when a user accesses Customer Engagement, including the user name and time
  6. Common entities: Tracks common entities like Account, Contact, Goal, Product, and User
  7. Sales entities: Tracks sales-related entities like Competitor, Opportunity, Invoice, Order, and Quote
  8. Marketing entities: Tracks campaign entity activity
  9. Customer Service entities: Tracks Case, Contract, Queue, and Service entity activity
  10. Click OK 

Information Drill Down 

Oftentimes, documents are managed on paper, which can leave room for errors that cannot be found at the time of the accounting audit. This problem can be solved by the drill-down of information through a single system. Dynamics 365’s single system operations manage accounting, sales, and purchasing. This way, it is easier to drill down the origins of errors and verify order details, whether it be the product lot number or the expiration date. Further Dynamics 365 allows you to attach documents including signed quotes, contracts, and receipts to orders, which reduces manual work when checking trails during an audit.
